Civil Builders Engineering Services, P.C. (“CBES,” “we,” or “us”) is a North Carolina professional corporation with its principal office at 714 Summit Avenue, Greensboro, NC 27405. This Privacy Policy describes how we collect, use, and safeguard information when you visit cbespc.com or contact us through the site.

We keep this policy plainly worded. If anything is unclear, email us at contact@cbespc.com and we will explain.

1. Information You Provide Through the Contact Form

When you submit our contact form, we collect:

• Name (required)
• Company (optional)
• Email address (required)
• Phone number (required)
• Project type (required, selected from a list)
• Project location (optional — city, county, or parcel address)
• Message (required — details about your project, scope, timeline, or permitting context)

We use this information solely to respond to your inquiry and, if you engage us, to perform the engineering services we agree to provide.

2. Information Collected Automatically

When you visit the site, our web server automatically records standard access-log information — your IP address, user-agent string, the page you requested, the referring URL, and the time of the request. This is common to almost all websites and is used for security, abuse prevention, and basic diagnostics.

The contact form sets a short-lived PHP session cookie (PHPSESSID) for the sole purpose of rate-limiting submissions to prevent automated abuse. The cookie expires when your browser session ends.

We do not currently use Google Analytics, Google Tag Manager, Facebook Pixel, or any third-party advertising or tracking cookies. If that changes, we will update this policy and note the change.

3. How We Use Your Information

• To respond to your inquiry and deliver the engineering services you request
• To maintain project records as required by North Carolina Board of Examiners for Engineers and Surveyors (NCBELS) professional conduct rules
• To comply with our legal, tax, and regulatory obligations
• To protect the site from abuse, spam, and unauthorized access

We do not use your information for advertising, marketing to third parties, or any purpose other than those listed above.

4. Service Providers That Process Your Information

We use three established providers to operate the site and deliver email. These providers process data strictly on our behalf under their own privacy programs.

Postmark (email delivery)

Contact-form submissions are transmitted to our inbox through Postmark (ActiveCampaign, Inc., United States), a SOC 2 Type II certified transactional email service. Postmark sees the submission content in transit and retains a short-lived record for deliverability diagnostics. See Postmark’s privacy policy.

Google Workspace (email hosting)

Our business email (contact@cbespc.com and related addresses) is hosted on Google Workspace (Google LLC, United States). Messages you send us are stored in Google’s secure infrastructure. See Google’s privacy policy.

Hostinger (web hosting)

cbespc.com is hosted on Hostinger (Hostinger International Ltd., Lithuania / United States edge). Hostinger’s servers process inbound requests and access logs. See Hostinger’s privacy policy.

5. Where Your Information Is Stored

The personal information you provide is stored on United-States-based infrastructure operated by the providers listed above. We do not transfer personal information outside the United States for our own purposes.

6. How Long We Keep Information

• Contact-form inquiries that do not result in an engagement: retained for up to three (3) years for business-record and follow-up purposes, then deleted.
• Project records for clients we engage: retained for seven (7) years after project completion, consistent with North Carolina professional engineering record-keeping practice and the state statute of repose for engineering services.
• Web access logs: retained for up to ninety (90) days for security and troubleshooting, then rotated out.

You can request earlier deletion at any time — see Section 8.

7. How We Protect Your Information

• All traffic to and from cbespc.com is encrypted in transit via TLS (HTTPS).
• Contact-form submissions are transmitted to Postmark over TLS and land in our Google Workspace mailbox over TLS.
• Access to our email and project records is restricted to CBES personnel who need it to perform their job, protected by strong passwords and multi-factor authentication.
• We do not store contact-form data in any public database or cloud bucket. Messages live in our email system only.

8. Your Rights

You can at any time:

• Ask what information we have about you
• Ask us to correct inaccurate information
• Ask us to delete your information (subject to any record-keeping obligations we have as a licensed engineering firm)
• Ask us to stop using your information for any purpose beyond responding to your inquiry

California, Colorado, Connecticut, Virginia, and other state residents have additional rights under their state privacy laws, including the right to know, delete, correct, and opt out of certain processing. We honor those rights regardless of where you live.

To exercise any of the above, email contact@cbespc.com with the subject line “Privacy Request.” We will respond within thirty (30) days.

9. Children

cbespc.com is a business-to-business engineering website. It is not directed to children under 13, and we do not knowingly collect personal information from children. If you believe a child has submitted information to us, email contact@cbespc.com and we will delete it.

10. Links to Other Sites

We sometimes link to external resources — regulatory agencies, technical references, tool vendors, and the like. We are not responsible for the privacy practices of those sites. When you follow an outbound link, review the destination’s own privacy policy.

11. Changes to This Policy

We may update this policy from time to time. When we do, we will change the “Last updated” date at the top of this page. If we make material changes — for example, if we ever begin collecting analytics data or using a new processor — we will note the change clearly. Your continued use of the site after a change indicates acceptance of the updated policy.
